Data Analyst, Travel Risk job description

Jefferies is seeking a motivated and detail-oriented Travel Risk and T&E Data Analyst to maintain and improve upon the firm’s travel risk management program and provide critical reporting, data analytics, data integrity, and T&E platform maintenance. This role requires strong analytical skills, attention to detail, and the ability to work both independently and collaboratively with the team to assess and mitigate travel-related risks. The ideal candidate will have a basic understanding of and a passion for the global landscape, policy, a proactive approach to problem-solving, a desire to learn and grow within the field of travel risk management, and the ability to work discreetly, with minimal direction, and with a level-headed approach.

This position reports to the Head of Travel & Expense.

Responsibilities Include

  • T&E Program Support
  • Uphold the firm’s T&E Policy to ensure compliance with company guidelines and regulatory requirements
  • Collaborate with internal teams and stakeholders (T&E, IT, HR, Legal, Compliance, Operations, Audit, Treasury, Business Continuity, etc.) to ensure alignment and integration with company procedures and requirements
  • Travel Risk Management
  • Maintain and uphold the Travel Risk Policy and Travel Risk Procedures; suggest updates as needed to ensure alignment with industry standards, legal requirements, corporate objectives, and best practices for safe travel
  • Work towards subject matter expert-level knowledge of the firm’s programs and industry at large to continuously evaluate and suggest updates to keep up with trends and advancements
  • Communicate with and support travelers for traveler security in collaboration with T&E and travel vendors
  • Maintain and further relationships with external partners such as security firms, travel management companies (TMCs), security information providers, and local authorities to enhance travel risk management capabilities
  • Ensure at every opportunity that travelers are protected and the firm’s duty of care is being met
  • Manage the relationship and program with Jefferies’ third-party Travel Risk Management provider including contractual and service levels, issue resolution, invoicing, and development
  • Travel Risk Assessments and Planning
  • Conduct thorough risk assessments for business travel destinations, considering factors such as political stability, health risks, natural disasters, and security threats and collect information from travelers regarding nature of travel to make recommendations in alignment with established procedures
  • Research and analyze travel advisories, security alerts, and global events to gather relevant information for risk assessments that may impact employee safety
  • Provide timely information to travelers and/or relevant stakeholders including pre-travel briefings, security orientations, assistance with obtaining necessary travel documentation, and safety and security services in conjunction with the firm’s third-party provider
  • Contribute to the development, maintenance, and delivery of training and guidance materials on travel safety measures and protocols for travelers, groups, or stakeholders on topics including personal security, health precautions, accessibility considerations, cultural sensitivities, etc.
  • Conduct periodic drills and simulations to test the effectiveness of emergency response plans and identify areas for improvement
  • Monitor quality control and/or manually enter travel segments into the firm’s travel security platform including off agency bookings and corporate aviation flights
  • Ensure risk mitigation through regular review of and compliance with insurance policies; consult at least annually to make recommendations for improvements and update as needed
  • Emergency Response and Incident Management
  • Monitor, triage, action, and/or escalate incidents, crises, and emergencies as primary point of contact through established processes including procedures for medical emergencies, security incidents, natural disasters, etc. through to full resolution
  • Follow communication protocols and channels to ensure timely and accurate dissemination of information during emergency situations; continuously evaluate to suggest efficiencies
  • Maintain logs for team use including incidents, issues, security engagements to ensure all are properly handled and closed upon completion
  • T&E Data Integrity, Maintenance, and Analytics
  • Generate regular reports on T&E activities across travel, corporate card, expense, and risk; review individually and across categories
  • Analyze T&E data for trends and patterns; provide recommendations for continuous improvement, minimize risk, and influence behaviors for firm initiatives
  • Run scheduled and ad hoc reports and review vendor platforms for fraud mitigation, forensic accounting, and policy violation review; log and action for employee resolution
  • Support global tax-related, audit, and ESG reporting requests
  • Reconcile and resolve discrepancies to support clean reporting and up-to-date profiles, transactions, and data for existing and terminated employees
  • Miscellaneous
  • Promote T&E department initiatives, communications, and intranet posts/documents; maintain and add to the team’s support portal site for global staff usage
  • Provide training and educational assets for new hires and existing personnel
  • Continuously monitor for opportunities to recommend workflow efficiencies or automation
  • Support ad hoc requests for day-to-day or programmatic needs

Requirements

  • Bachelor’s degree in a relevant field or a related discipline or equivalent work experience
  • Demonstrated interest or related experience in travel risk management, security management, or international relations/operations
  • Willingness to work Eastern Time Zone (ET) business hours and flexible hours that accommodate international staff and travelers, as needed; appreciate that unsociable hours, while not the norm, are part of this type of role
  • Strong analytical and research skills, with the ability to gather and analyze data from multiple sources
  • Attention to detail and ability to identify patterns and trends within data sets
  • Strong interpersonal skills, including written and oral communication skills necessary to build relationships and positively influence decision making at all levels internally and externally
  • Proven track record of sound decision making, exercising discretion, taking ownership, earning the trust of leadership, and delivering results with a cool, level-headed approach; ability to act and react calmly and feel confident to make the right decision at the right time
  • Proficiency in using Microsoft Office tools, particularly Excel, for data analysis and reporting
  • Knowledge of international travel regulations, travel insurance, and duty of care principles is a plus
  • Familiarity with travel risk management tools and incident reporting systems is an advantage
  • Ability to adapt quickly to changing priorities, manage multiple complex projects, and work well under tight deadlines
